How JobVantage collects, uses and protects personal data, and the rights you have over it.

This Privacy Policy explains how JobVantage ("JobVantage", "we", "us", "our") collects, uses, shares and protects personal data when you visit our website, use our platform, or otherwise interact with us.

1) Who we are (Controller details)

JobVantage is operated by JOBVANTAGE LTD ("JobVantage").

If you are using JobVantage through a recruitment agency, candidate-support business, or another organisation (a "Customer"), that Customer may control the personal data processed in the platform. See section 3.

2) Scope

This policy applies to:

  • Visitors to our website and marketing pages
  • Users who create accounts and use the JobVantage platform
  • Individuals whose personal data is processed in the platform by our Customers (for example, candidates, hiring managers, and prospect contacts)

3) Our role: Controller vs Processor

JobVantage can act in two roles:

A) When we're a Controller

We are a controller for personal data we process for our own purposes, such as:

  • Website enquiries, demos, sales conversations
  • Account administration for platform users
  • Billing and service communications
  • Marketing to businesses (where permitted)

B) When we're a Processor (most platform data)

For most platform activity, our Customer is the controller and JobVantage is a processor, because we process personal data on the Customer's instructions to deliver the service (e.g., matching candidates to roles, generating speccing materials, assisting outreach).

If you are a candidate or contact whose data is in JobVantage because a Customer uploaded it or sourced it, your primary relationship is usually with that Customer. You can still contact us, but the Customer typically controls the purposes and lawful basis.

4) Personal data we collect and process

Depending on how you interact with JobVantage, we may process:

Website and enquiry data

  • Name, work email, company, job title
  • Message content and meeting notes you choose to share
  • Basic analytics (device/browser information, pages viewed, approximate location)

Account and platform user data

  • Name, work email, password (stored in hashed form where applicable)
  • Role/permissions, workspace details, settings
  • Usage logs (feature usage, timestamps, actions taken)

Candidate data (uploaded or sourced by Customers)

  • CV/resume content, employment history, education, skills
  • Preferences and notes (e.g., target roles, salary, location, notice period)
  • Application materials (e.g., CV variants, cover letters, anonymised profiles)
  • Communication history if the Customer connects messaging/email tools

Job and company data

  • Job descriptions, role requirements, location, salary ranges (if present)
  • Company and hiring team details where available

Contact/prospect enrichment data

Where Customers use features to find or enrich contacts, we may process:

  • Work contact details (e.g., name, work email, LinkedIn URL, employer, seniority)
  • Public professional profile data (e.g., role history and current company)

Automated analysis outputs

JobVantage may generate:

  • Matching scores/relevance rankings
  • Summaries and extracted attributes (e.g., skills, seniority indicators)
  • Suggested outreach copy and follow-ups
  • Vector embeddings (numerical representations) derived from text to enable semantic search and matching

5) Where personal data comes from

We may collect personal data from:

  • You (forms, emails, demos, platform use)
  • Our Customers (uploads, CRMs/ATS, notes, candidate records)
  • Publicly available sources (e.g., job postings, company sites, professional profiles) where Customers choose to use these features
  • Third-party providers used for enrichment, analytics, communications, or infrastructure (see section 7)

6) How we use personal data (purposes)

We use personal data to:

Provide and improve the service

  • Create and manage accounts and workspaces
  • Run matching workflows (candidate to job; job to candidate)
  • Generate speccing materials (e.g., anonymised CVs, outreach drafts)
  • Support automation features (sequencing, reminders, follow-ups where enabled)
  • Provide customer support and troubleshoot issues
  • Monitor performance, reliability, and security

Run our business

  • Billing, payments, contract administration
  • Prevent fraud, abuse, and unauthorised access
  • Comply with legal obligations

Sales and marketing (B2B)

  • Respond to enquiries and book demos
  • Send product updates and marketing communications (where permitted)
  • Measure marketing performance (with appropriate cookie controls)

7) Who we share personal data with (subprocessors and recipients)

We may share personal data with trusted third parties where necessary to operate JobVantage, including:

  • Cloud hosting and infrastructure (e.g., compute, storage, logging)
  • AI/LLM providers (to generate text outputs, ranking, summarisation, or embeddings where enabled)
  • Data/enrichment providers (to find or verify work contact details where Customers use this module)
  • Email/communications providers (sending system emails; optionally Customer-connected email/outreach tooling)
  • Analytics providers (product analytics, error monitoring)
  • Payment providers (billing administration)
  • Professional advisers (legal, accounting) and auditors
  • Law enforcement/regulators if we are required to disclose information

A current list of named sub-processors is published on our Trust page and available on request.

We do not sell personal data.

Important: Some features may be optional and controlled by the Customer (e.g., contact enrichment). If a Customer enables those features, relevant personal data may be sent to the selected provider to fulfil that request.

8) International transfers

Some of our service providers may process personal data outside the UK. Where we transfer personal data internationally, we use appropriate safeguards such as:

  • UK International Data Transfer Addendum / Standard Contractual Clauses (as applicable)
  • Transfers to countries recognised as providing adequate protection (where applicable)
  • Additional technical and organisational measures where appropriate

9) Lawful bases (when JobVantage is the Controller)

Where JobVantage acts as a controller, we rely on the following lawful bases (UK GDPR):

  • Contract: to provide the platform and related support to users/customers
  • Legitimate interests: to operate, secure, and improve our service; to conduct B2B sales activity where permitted (you can object)
  • Consent: where required (e.g., certain cookies; some marketing communications)
  • Legal obligation: to meet regulatory and legal requirements

Where JobVantage acts as a processor, the Customer is responsible for identifying the lawful basis for processing (e.g., legitimate interests, consent, contract).

10) Automated decision-making

JobVantage uses automated processing to support matching, ranking, and content generation (for example, scoring candidate-job relevance using semantic search/embeddings and AI-assisted ranking).

  • These outputs are designed to support recruitment/business workflows, not to be the sole basis for decisions.
  • Customers can review, override, and edit outputs.

If you believe an automated output materially affects you, you can request information about the logic involved and raise concerns (see section 13). In many cases, the Customer is the correct first contact.

11) Data retention

We keep personal data only for as long as necessary for the purposes described above.

Typical retention drivers include:

  • The duration of a Customer contract and platform usage
  • Technical logs retained for security and debugging
  • Legal/accounting retention requirements for billing records

Platform data controlled by Customers: We retain it according to the Customer's instructions and/or the contract. Customers can request deletion of their workspace data. In the absence of specific instructions, platform data is deleted within 30-90 days of contract termination.

Website enquiries and sales records: retained for a reasonable period to manage the relationship and maintain audit trails (you can request deletion where applicable).

12) Security

We use appropriate technical and organisational measures designed to protect personal data, such as access controls, least-privilege permissions, monitoring, and secure development practices.

13) Your rights (UK GDPR)

Depending on the circumstances, you may have rights to:

  • Access your personal data
  • Rectify inaccurate data
  • Erase your data
  • Restrict processing
  • Data portability
  • Object to processing (especially where based on legitimate interests)
  • Withdraw consent (where processing is based on consent)

If you are in the platform because of a Customer

If a recruitment agency or other Customer controls your data in JobVantage, you should usually direct rights requests to that Customer first, because they determine why and how your data is used. We will support Customers in responding where we are able.

14) Cookies and similar technologies

Our website may use cookies and similar technologies for:

  • Essential site functionality
  • Analytics and performance measurement
  • Marketing effectiveness (where enabled)

Where required, we use a cookie banner/preferences tool so you can control non-essential cookies.

15) Children

JobVantage is not intended for children and we do not knowingly collect data from children.

Our website or platform may include links to third-party websites (e.g., job boards, LinkedIn). We are not responsible for their privacy practices.

17) Changes to this policy

We may update this policy from time to time. We will post the updated version on our website and update the "Last updated" date. If changes are material, we may notify Customers or platform users.
